Searching Enterprise Content Management (ECM) Systems

Companies have spent millions developing and deploying content and document management systems and their associated workflows and processes. These systems and information portals hold large amounts of valuable corporate information - market research reports, approved collateral, presentations, etc. However, lack of quality search tools and intuitive user interfaces make much of this information inaccessible to employees. Quick, easy, and secure access to this content (even if an employee doesn’t yet know that the information exists) is vital to organizational productivity.

The Google Search Appliance indexes your companies information - unstructured documents, semi-structured meta data, and structured data - and provides users with quick, powerful and secure access to all corporate information.

Providing Google-quality search across the content in your content management systems delivers the following advantages:

  • Relevant results: Your system might include an embedded search engine, but chances are it won’t deliver high quality, relevant results like the Google Search Appliance. At Google, we live, breathe and sleep search and have thousands of engineers focused on delivering the right search result every time a user performs a search
  • Unified search: As document silos continue to proliferate, users are frustrated by having to look in multiple systems to find what they need. The Google Search Appliance enables you to unify search across your intranet, third party applications, database content and even drill down to a user’s desktop. Users save time and find what they need by having one search box that covers all relevant information
  • Scalability: The Google Search Appliance can easily scale (and grow over time) to handle all of your corporate content
  • Security: The Google Search Appliance will integrate with your access control systems to insure that users only see documents to which they have access
  • Familiar user interface: Administrators can easily customize search results pages (even removing any mention of Google). However, many customers take advantage of employee familiarity with Google (and our extensive internal research on optimal user interface design) by using a look and feel similar to Google.com.au

Crawling Document Management Systems back to top

The Google Search Appliance crawls through the HTTP/S interface of your existing enterprise document and content management system, seeing pages and documents just like your users do. The content is indexed by the appliance, making it easily searchable and the application's native security and access control settings are respected, ensuring users only see the documents they have access to. The crawler-based approach is simple to setup and simple to maintain. Just point the Google Search Appliance at your ECM system, and let it go.

Feeding Documents back to top

In the case where your document or content management is not easily crawlable through an HTTP interface, the Google Search Appliance can still simply, easily, and securely index its contents. For example, some content systems employ scripting in order to provide a more dynamic user experience, making it impossible for the web crawler to navigate links and discover documents. If this is the case, you can still feed a list of document URL's to the appliance, thereby bypassing the navigation and pointing the web crawler directly to the end contents. Alternatively, if you prefer to take full control of the content, you can directly integrate the indexing into your document management workflow and feed the full contents of each document to the Google Search Appliance using a simple XML format. This allows any content, no matter the system, to be indexed fully by the appliance.

Content Connectors back to top

Google's strong and growing list of Google Enterprise Professional partners have built a variety of integration components that enable connectivity to leading content management, document management, portals, and business applications. Google has also created open-source connectors that enable the Google Search Appliance to search content in Microsoft Sharepoint. For a full list of Google Enterprise Professionals and more detail on their content connectors, please see the partner directory.
